Your one-stop read for all things Moving Day

It’s next weekend! On Saturday, Aug. 3, we will move all patients and the care we provide from our current Lutheran Medical Center to our new Lutheran Hospital. Smiles and deep breaths. The team planning this move for the past two years has developed the smoothest and safest-possible process for you and your patients. It won't be perfect. But by reviewing the information below, you can ensure your move is as roadblock-free as possible.

Preparing to move

EMTALA forms

Starting Friday, the day before the move, physicians must sign their patients' EMTALA forms, indicating they are the sending physician and documenting the name of the receiving physician. EMTALA forms, along with other items, will be included in envelopes posted on the patient doors. This envelope will travel with the patient.

Care on moving day

As you continue to care for your patients and prepare them for the move, please consider the adjustments in these departments:

  • Labs: Stat orders only will be available. Routine labs will be deferred until the patient arrives at the new hospital.

  • Imaging: Stat images only will be available. Routine imaging will be deferred until the patient arrives at the new hospital.

  • Outpatient Pharmacy will be closed on moving day.

  • The procedural areas will be open. GI and Cath Labs will see patients in both locations.

  • Epic patient lists: Nothing will change. The patient’s new room number will automatically populate when the patient arrives at the new hospital.

  • The log-in context needs to change at the new hospital. For example, “LH-ICU” becomes “PLH-ICU.”

Old units v. new units

Aside from the Emergency Department, all department names are changing. The unit crosswalk below will allow you to successfully transfer your patients to the correct department in the new hospital.

Patient tracks

Starting at 6 a.m. on moving day, you will need to begin rounding and discharging or approving for transfer all patients according to the sequence of the tracks they're on.

All three tracks will proceed simultaneously, starting at 8 a.m. If you have patients in multiple units, please round from left to right and sequence your patients appropriately so your units remain on track and on time.

The ETD for the first patient from each unit is subject to change (earlier or later) based on the patient census on the morning of move day.

Track 1 
2nd Floor L&D:
 ETD 8 a.m.
2nd Floor NICU: ETD 8:30 a.m.
3rd Floor Mother/Baby: ETD 9 a.m.
5th Floor HMI: ETD 10:30 a.m.

It is anticipated all patients traveling along Track 1 will be moved into their new rooms by 4:30 p.m.

Track 2
5th Floor PCU: 
ETD 8 a.m.
6th Floor Internal Med: ETD 11 a.m.

It is anticipated all patients traveling along Track 2 will be moved into their new rooms by 4:30 p.m.

Track 3
6th Floor Tele:
 ETD 8 a.m.
4th Floor NCC: ETD 11 a.m.
4th Floor ICU: ETD 1 p.m.
3W: ETD 3 p.m.

As Track 1 completes its patient move, ambulances will be pulled to support the movement of 3W patients. It is anticipated all patients traveling along Track 3 will be moved into their new rooms by 6 p.m.

In addition to following the tracks, you're also encouraged to distribute your higher acuity patients evenly throughout your transfer sequence so the admitting department isn't receiving multiple high acuity patients at the same time.

Once evaluated and cleared to move by you, you must document your patient's readiness for transport with the Epic dot phrase .PHYSICIANSENDNOTE.

Moving

Parking

On moving day at the legacy campus, please do not park anywhere near the Emergency Department. These lots and corridors need to remain open for the parade of ambulances that will transport our patients all day from the old campus to the new campus.

The street address for the new hospital is 12911 West 40th Ave., Wheat Ridge, CO, 80401.

When you arrive at the new campus, for moving day only, please do not park in Lot D, the Physician Parking Lot. It is situated along the ambulance travel path and needs to remain clear for the transfer of patients.

Instead, please park in the Level 2 parking garage and lot A, and enter the hospital at the door closest to where you've parked.

Badges

Your current badge, old or new, will work at the new hospital. You can pick up your new badge after the move by visiting the new Facilities Department. If you'd like to pick up your new badge before the move (one fewer to-do item!), please stop by our current Facilities Department weekdays from 7 to 11 a.m. or 1 to 3 p.m.

Physicians must evaluate all patients on arrival and document that they've done so with the Epic dot phrase .PHYSICIANACCEPTNOTE.

Call rooms

All call rooms at the new Lutheran Hospital will be labeled appropriately with your practice name on a sheet of paper taped to the door.

Phone numbers

Badge buddies are being developed and directories will be available in all units with the new hospital's most frequently called numbers. You can review the new numbers for your units by clicking the button below.

Incident Command Center

Physicians who encounter any urgent issue that prevents them from providing their best care or that forces them to deviate from their optimal workflow are encouraged to call the Incident Command Center to have their concern immediately addressed.

This is a one-stop hotline for any issue you might encounter in the first few days, including badges, IT, facilities, biomed, operations and more. Volunteers also will be stationed in all units to provide frontline troubleshooting, wayfinding and general problem solving.

Reporting issues

Not everything will function as it's intended on Day One. We thank you in advance for your patience and ask for your help in reporting issues that need to be fixed. If it's not urgent, please submit a ticket in MyIntermountain to report it.

We understand many of our affiliated physicians and clinicians do not yet have access to our intranet. Until this issue is resolved, please reach out to your department director or manager and ask for a ticket to be submitted for you.

Parking on Day 2 and beyond

Lot D on the new hospital campus is the Physician Parking Lot. You can see it in the upper-right corner of the parking map above. It is accessible through a gate activated by your badge. From there, you will enter the hospital at Door 12.

Door 12 leads you into a hallway that extends between the Emergency Department and Observation/Imaging. Click the images above for a close-up look.

Items to remember

There is a skilled and caring team dedicated to ensuring you are confident, supported and well-informed during the move.

  • Food will be available in both locations. At the legacy hospital, the Physician Lounge will continue to offer a selection throughout the day, and at the new hospital, the Café will be open.

  • Volunteers will be onsite to help you with wayfinding or any issues that might arise.

  • Help for any issue will be immediately available by calling the Incident Command Center at 303-265-5095 (x#55095).

  • The MOBs will move in September. Until then, MOB physicians visiting patients in the new hospital will need to plan for ample travel and parking time.
